1. Who we are
Chloe Wright Hair ("we", "us") is the data controller for the personal information described here. Our address is Salt Hair Studio, 60 Chester Street, Wrexham, North Wales. You can contact us about privacy at hello@chloewrighthair.co.uk.
2. What we collect
- Account and contact details: name, email address, phone number, and an optional profile photo.
- Appointment history: services booked, dates, stylist, price, deposit or voucher references, notes and cancellations.
- Health-related information (special category data): allergies, sensitivities and anything medically relevant to your treatment that you choose to give us, and results of patch tests.
- Consultation and colour records: formulas, products used and treatment notes kept by your stylist.
- Photos: before/after or reference photos are taken only with your consent.
- App notifications: if you use our app, a push notification token for your device and your notification preferences.
- Security and audit logs: IP address and a record of key actions (such as bookings and sign-ins) to keep the service secure and prevent abuse.
- Payment references: deposit and gift-voucher references. We do not store card numbers; deposits are paid by bank transfer.
3. Why we use it, and our lawful bases
- To provide your booking and services (contract): managing appointments, reminders, changes and cancellations, deposits and vouchers.
- To keep you safe (explicit consent, UK GDPR Article 9(2)(a)): health information such as allergies is special category data. We rely on your explicit consent, given when you complete or confirm the health form, so that your stylist can avoid products and treatments that could harm you. You can withdraw consent at any time, although we may then be unable to carry out certain treatments.
- Service messages (contract / legitimate interests): booking confirmations and reminders. Optional reminders such as "time to rebook" or review requests are sent only if enabled by us and respect your notification preferences.
- Security, fraud prevention and record keeping (legitimate interests, and legal obligation for accounting records).
- Photos (consent).
4. Who we share it with
We do not sell your data. We use trusted providers to run the service, only for the purposes above: our web hosting provider; email delivery (and, where you opted in, WhatsApp/SMS reminders); and the Expo push notification service, which delivers notifications to the app. Staff at the salon can see the information needed to do their job. We may disclose information if the law requires it.
5. How long we keep it
Client accounts with no appointment for 12 months (and no upcoming booking) are automatically anonymised: your name is kept on past appointment records, but your email address, phone number, profile photo and sign-in access are removed. Accounting records are kept for the period required by law.
6. Your rights
Under UK data protection law you have the right to: be informed and to access your data; have it corrected; have it erased (you can delete your account yourself from the website or the app when you have no upcoming appointments); restrict or object to our use of it; receive it in a portable form; and withdraw consent at any time. To use any of these rights, contact us at hello@chloewrighthair.co.uk. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
7. Cookies
We use only a strictly necessary session cookie to keep you signed in and protect forms against forgery. We do not use advertising or analytics cookies.
8. Children
Our online booking is intended for adults. If a parent or guardian books for a child, they are responsible for the information provided. Please contact us if you believe we hold a child's data without a parent's knowledge.
9. Security
Access to accounts uses one-time email codes (and optional two-factor authentication for staff), data is sent over HTTPS, and staff access is limited by role. No online service is completely risk-free, so please tell us straight away if you suspect a problem.
10. Changes
We may update this policy from time to time; the date at the top shows when it last changed.
